I visited a law firm a couple years back that used sticky-notes to communicate their hours to the person to does their invoicing.
And so I had to ask the question of what happens when a sticky note falls off … and is carried out of the office on someone’s shoe. “3 hours, bill to John Smith.” There was a sad kind-of-grin on his face.
SO, we understand that every accounting department has their, well, differences. And so we offer a variety of settings and options to fit your needs. We feel they are some of the “best practice” based on what we’ve seen and heard from other publishers. ( No sticky notes! )
The first thing we did was eliminate re-entering advertiser information. Sales already does that. Then we pulled the information directly off the insertion order ( or contract ) to be used on the invoice. Simple. So now when you are looking at a list of ads in an issue, you can bill all of them with one click of the mouse. Print all the invoices out for mailing or you can email individual pdf files.
We all know the process at this point. You invoice, they pay ( or not ) and the process repeats. Let’s skip to a list of additional features to help you manage your receivables.
